E-mails have 2 important properties: the name and the e-mail address of the sender.
The properties of an e-mail sent via AdminPulse has these values:
Name: the name of the company that is configured in "Own company"
E-mail address: inbox@adminpulse.be
This can be confusing for the recipient of the e-mail, your customer. This person sees the name of the company, but the e-mailaddress has a domain name that ends with AdminPulse.be This can cause e-mails to be delivered in the spam folder more easily, or the customer can think that it is a phishing email.
To avoid this, you can configure your own domain name in AdminPulse to use this as the e-mail address of the sender.
In this step by step plan we will show you how this can be configured. We will be using the domain name accountancy.be as an example.
Requirements
- Your own domain name, for example accountancy.be
- Ability to edit and add the CNAME records of this domain. Your IT supplier might be able to help you with this.
- Underscores have to be allowed in the CNAME records.
Step 1
Go to AdminPulse and enter an e-mail address that ends with the domain name in "Own company". For example: info@accountancy.be. This mailbox does not have to exist, but we do recommend it. Some customers might copy the address when replying to the e-mail.
Step 2
Go to the general settings and click on "Verify domain" under the section "General". A confirmation modal will be shown, displaying the requirements and the domain that will be verified.
Step 3
After confirming, 3 CNAME records will be shown. These have to be added to the DNS-settings of the domain.
If you control the configuration of the domain yourself, you can do this by going to the configuration portal of the domain. If your IT supplier is in control of the domain, you can send the CNAME records to your IT supplier using the button shown in the dialog.
The website on which you configure the DNS-settings is different for each DNS-provider. A few examples of DNS-providers where your domain might be hosted are GoDaddy & Combell.
Step 4
Go to the configuration of the CNAME records of the domain.
Add the CNAME records that are shown in AdminPulse. Be careful: some providers already automatically append the domain name to the name of the CNAME record. When this happens, you have to make sure the domain name is not duplicated in the CNAME record.
When the 3 CNAME records have been added, it can take up to 48 hours before they can be verified. However, this usually does not take so long and after a few minutes your CNAME records should be able to be verified.
Starting 2024, popular e-mail providers like Gmail will more likely deliver e-mails to a spam folder if no DMARC record is present for the sender domain. More info about this announcement can be found here.
Only one DMARC record should exist for a domain. If the domain already has a DMARC record, no changes have to be made.
If no DMARC record exists yet, a TXT record should be created that looks like this:
Host: _dmarc.accountancy.be (replace accountancy.be with the domain of the customer)
Value: v=DMARC1; p=none;
Use this tool to verify that the record was added correctly.
More information about the DMARC record can be found here.
Step 5
Go back to the general settings of AdminPulse and click on "Verify".
If the CNAME records were correctly entered, a message will be shown saying the verification has succeeded. From now on, all e-mails sent by AdminPulse will use the e-mail address and thus the domain of the own company.
