On the Own company screen, you can manage your accounting firm’s details, such as its name, business number, address, bank accounts and contact details. AdminPulse uses this information on your invoices, in the UBL file for electronic invoices and in emails. This means you only need to keep it up to date in one place.
In this article, you’ll learn which details to enter, how AdminPulse retrieves information from the CBE, how to manage your bank accounts and where your firm’s details are used.
Which details do you enter under Own company?
Go to the gear icon to open Settings > Own company. Click a detail to edit it. If a field is empty, a pencil icon appears.AdminPulse saves each change immediately.
You can enter the following details about your firm:
- Name and Commercial name;
- Business number and VAT number;
- Address and Bank account;
- Legal form and Jurisdiction: the Register of Legal Persons in which your firm is registered;
- Telephone, Website and E-mail;
- Professional association and the Number under which your firm is registered.
A warning icon appears next to certain fields while they are empty or incomplete. Hover over the warning icon to see which information is missing.
💡 The address is only considered complete when the street, house number, postcode, city and country have been entered.
💡 If your firm is not subject to VAT, click VAT number and select Not subject to VAT.
How does AdminPulse retrieve information from the CBE?
When you enter or update the Business number, AdminPulse immediately checks the CBE and retrieves the available information.
AdminPulse only fills in fields that are still empty. This applies to Name, Telephone, E-mail and Legal form. If your firm does not have an address yet, AdminPulse can also retrieve it from the CBE. Information you have already entered remains unchanged.
If AdminPulse finds the business number in the CBE and you have never entered a VAT number, it automatically fills in the VAT number with BE followed by the business number.
How do you manage bank accounts?
You can enter multiple bank account numbers for your firm. This allows you to add transactions from these accounts and match them to invoices automatically.
Next to Bank account, click Modify bank accounts. When you enter an IBAN, AdminPulse automatically retrieves the BIC and the bank’s name.
Use the star to select your main bank account. AdminPulse uses this account for the electronic invoice (UBL) and payment QR code. Only one bank account can be set as the main bank account.
Where does AdminPulse use your firm’s details?
AdminPulse automatically uses the details entered under Own company in the following places:
- Invoices: the name, commercial name, legal form, address, country, telephone number, website, email address, business number, VAT number, professional association and its number, and the main bank account and its BIC. The details that appear on the invoice depend on your invoice template.
- UBL file for an electronic invoice: the same firm details as on the invoice, together with the IBAN and BIC.
- Payment QR code on an invoice: the name, IBAN and BIC.
- Distance calculation for a registration: your firm’s address.
💡 Without your firm’s address, AdminPulse cannot calculate the distance to a relation.
💡 Would you like to send emails from your firm’s domain instead of no-reply@adminpulse.be? First enter an email address under E-mail. Without an email address, you cannot enable Use domain of own company in e-mails (instead of no-reply@adminpulse.be) in the general settings.
