You can easily send emails to multiple contacts through Tasks. By setting a subtask of the type "mail" to the status "Done," the associated email template will automatically be sent. This can be done individually via the Task board, or for multiple relations at once via the Task Overview.
Requirements
To send emails this way, a task that includes a subtask of the type "mail" must be scheduled for the relevant contacts.
Below, we explain the process using the 'PIT' task as an example. However, the same steps apply to any task that includes a subtask requiring an email to be sent.
Steps to email multiple contacts
1. Go to the Task overview
In AdminPulse, navigate to the Task Overview (Tasks > Task Overview) and select the task 'PIT'. (If you use multiple 'PIT' templates, you will need to repeat these steps for each template.)
2. Select tasks
Select all tasks for which you want to request documents. Use the checkbox in the top-left corner to select all tasks at once.
3. Change subtask state
Click on 'Batch operations' and choose 'Change subtask status'. This option will only become active after you have selected at least one task. In the dialogue box that appears:
- Choose the subtask 'Request documents'
- Set the status to 'Done'
- Check the box for 'Send e-mail'
4. Review the e-mail template
The default email template linked to the task template for the selected task will open. If necessary, you can adapt the e-mail text in this window.
5. Send
Click 'OK' to send the e-mails; the subtask status for all selected tasks will be set to 'Done', and the emails will be sent to the corresponding contacts.
Track the sending progress
You can monitor the progress and view the results of the emails sent via the Batch Jobs window, which you can access from the top menubar:
