With AI in the interactions timeline, AdminPulse helps you get a quick overview after a conversation or meeting. With one click, you can generate a summary and automatically create to-do’s.
In this article, you will read how to use AI summaries and to-do’s within the interactions timeline.
When is AI in interactions especially useful?
AI in interactions is especially useful when you keep track of conversations or meetings in AdminPulse and also need to follow up on their content, without having to structure everything again yourself.
Typical situations include the following:
- advisory conversations with a lot of information
- internal or external consultation moments about files
- interactions with documents, scans or photos of handwritten notes
- interactions in which agreements and follow-up actions are discussed
Instead of summarizing this information manually or writing to-do’s yourself, AI helps you process conversations and meetings quickly and in a structured way in the interactions timeline.
This results in:
- time savings when documenting and following up on interactions
- less chance of forgotten agreements or action points
- clearer and more consistent follow-up to-do’s
👉 You always keep full control:
you decide when to use AI, you can edit summaries and to-do’s, and you decide which to-do’s are actually created.
What does AI do with an interaction?
AI supports you within an interaction in two ways:
- creating a summary of notes and attachments (for example Word and PDF files, or photos and scans of handwritten notes)
- generating to-do’s based on the content of the interaction, with a logical deadline and assigned to an appropriate employee (if possible)
You can use both features together or separately, depending on what you need.
👉 AI features are available for interactions of the type note, phone call and meeting report. For other interaction types, no AI buttons are shown.
How do you let AI create a summary of an interaction?
Using AI is always a user-selected action. Nothing is processed automatically without your confirmation.
Follow these steps to generate a summary:
- Go to the interactions timeline of a relation (Relation file > speech bubble button)
- Click Summarize with AI at the bottom of an interaction. A pop-up appears stating that this AI feature uses credits. More info: Credits and costs: what can you expect?
- Choose whether you want to include one or more attachments
- AI analyses the notes and selected attachments.
If text cannot be extracted from an attachment, that attachment is skipped. - The generated summary opens in a separate text window, where you can still edit and save it
- After saving, the summary appears at the top of the interaction.
Via the pencil iconyou can edit both your own notes and the AI summary.
👉 The AI summary:
- is separate from your own notes
- is fully editable, before and after saving
- is not automatically updated when you change your notes
How do you let AI create to-do’s for interactions?
Generating to-do’s is also a user-selected action: you review the suggestions and decide yourself which to-do’s are actually created.
- Go to the interactions timeline of a relation (Relation file > speech bubble button)
- Click Generate to-do’s at the bottom of an interaction. A pop-up appears stating that this AI feature uses credits. More info: Credits and costs: what can you expect?
- Choose whether one or more attachments should be included
- Review and edit the suggested to-do’s (to-do title, deadline, assigned employee and comment).
You can choose to approve or reject all to-do’s, or set this per to-do using the action buttons above and next to the to-do’s. - Confirm to create and assign the to-do’s.
💡 It is possible that no to-do’s are generated. In that case, the following message appears: “No suggestions were generated.”
💡 To-do’s are generated in the same language as the interaction.
Points to keep in mind when using AI in interactions
- By default, AI can be used by all users, except users with the standard role ‘Registration only’.
If you work with custom roles, you can limit access through the ‘AI’ functionality.
Important to know about AI
AI helps with structuring information, but it does not replace content review.
You remain responsible for:
- the content of summaries
- the correctness of to-do’s and deadlines
