From the Task board, you can easily register time on tasks and subtasks. The item from the price list to which the time gets registered is determined in the Task templates (Settings > Task templates).
The way time tracking works depends on the setting 'Time registration from the Task board' (Settings > General settings > Task management). There are three possible configurations:
- Click to open registration form
- Show form on task completion
- Automated time registration
Regardless of the selected setting, you can always manually add time registrations in the Task board. Additionally, you can work with the timer. Start the timer when you begin working and stop it once you’re done. At that point, the time gets registered automatically.
Below, you’ll find a detailed explanation of the three settings, including how time registration works for subtasks.
The 3 time registration settings for the Task board

With this method, nothing happens automatically. Follow these steps to register time:
- Click the clock icon next to the (sub)task when you want to register time
- Fill in the required details in the form, such as duration or comments
- Click OK to save the entry
💡 For tasks with predefined durations, the default duration is automatically filled in when the form opens.
Show form on task completion
With this setting, the registration form automatically opens when a subtask is moved to ‘Done’.
- For an 'Actual task' or an 'Email' task: The form opens automatically, and you manually register time.
- For tasks with predefined durations: The form opens automatically, with the default duration already filled in. Verify the time and click OK.
This setting eliminates the need to manually open the registration form, saving time and ensuring you don’t forget to track time.
Automated time registration
With this setting, time registration happens mostly automatically.

For an 'Actual task':
- A timer starts automatically when a task is moved to ‘In Progress’.
- When the task is marked as ‘Done’, the tracked time is registered (provided the timer ran longer than one minute).
- Each entry is notified via a message in the bottom-right corner of your screen. Click the message to edit the registered time.
- You can also stop the timer by clicking the pause icon in the task. The tracked time gets registered automatically. Want to resume registering? Click the start icon within the same task.
- A timer starts automatically when a task is moved to ‘In Progress’.

Task with a default duration:
- No timer is started when moved to ‘In Progress’.
- When moved to ‘Done’, the default duration is registered automatically.
💡 Only one timer can be active at a time. If you start a new timer while another is running, the current timer stops, and the time gets registered.

Regardless of the selected setting for 'Time registration from the Task board' you can always manually add additional registrations.
Manually register time in the Task board
- Click on the clock icon for a (sub)task to open the registration form.
- Fill in the desired duration, date, or other fields.
- Click OK to save the registration.
Manually register costs in the Task board
When working from the Task board, there are two ways to register costs:

Set a cost in the Task template
Configure a cost in the Task template. Once a subtask is moved to ‘Done’, the configured cost is automatically registered.
👉 Note: The cost is only registered automatically once, even if you move the subtask back to ‘In Progress’ and then again to ‘Done’. -
Manually register a cost
Add a manual cost registration by following these steps:- Click on the clock icon for a (sub)task to open the registration form.
- Select 'Product/Costs' and complete the form.
- Click OK to save the registration.
Examples
The cases below clarify some specific time and cost registration scenarios:
Case 1: Registering time via the Task board
Setting: Automated time registration.
Subtask: A task with a default duration of 5 minutes.
Actions: A user moves the task to ‘Done’ via the Task board.
Result: The time is registered under the name of the user who changed the task status.
If the status was not changed via the Task board, no time is registered.
Case 2: Using a Taskflow
Setting: Automated time registration.
Subtask: A task with a default duration of 5 minutes.
Action: The task is moved to ‘Done’ by a Taskflow, for instance, by uploading a document.
Result: No time registration is created.
Case 3: Cost registration
Subtask: A task with an associated cost.
Action: A user moves the task to ‘Done’ via the Task board.
Result: The cost is registered under the name of the user who executed the status change. (Both ways, via the Task board and Task overview)
Case 4: Cost registration
Subtask: A task with an associated cost.
Action: The task is moved to ‘Done’ by a Taskflow, for instance, by uploading a document.
Result: The cost is registered under the name of the user who uploaded the document.
Case 5: Planned registrations
Planned registrations: Applies to both, automatically registered times and costs.
Result: The registration is linked to the user who created the schedule for the registration.
