In this article, you will learn how to send emails from AdminPulse and which options are available.
You will discover from which screens you can send emails, when you communicate individually or in bulk with your relations, and whether the email is sent directly via AdminPulse or through your default email program.
How to send an email via AdminPulse
Depending on where you are in AdminPulse, you can send emails:
- directly via AdminPulse
- via the default email program on your computer
Option 1: Email via AdminPulse
Within AdminPulse, you can create and send an email directly, without opening your email program.
You can choose between:
- An email template: standard emails that you can send quickly
-
A free email: write the content of the message yourself
Attachments and recipients
When sending emails via AdminPulse, you can:
- add documents as attachments
- automatically fill in email addresses based on the relation: the main email address, billing email addresses, or template-specific recipients
Option 2: Email via your default email program
On some screens, AdminPulse opens your default email program (such as Outlook or Apple Mail), allowing you to compose an email there.
Problems sending emails via your default email program?
If you choose to send emails via your default email program, but nothing happens or the wrong program opens, follow the steps below to correct the settings.
- Open Windows Search (or press Windows key + S) and type default apps
- Click Default apps
- In the window that appears, you can see which program is currently set for each function. Look for Mail and click the displayed program to select a different email program.
Which sending option opens when you send an email?
When you send an email in AdminPulse (via an icon, the Send email button, or a bulk action), the same sending option is not always opened. What happens depends on the screen from which you perform the action and on the context.
Email via AdminPulse:
- Relation files > Relations (individual or bulk)
- Relation files > Interactions
- Relation files > Invoice schedules (bulk)
- Relation files > Compliance (bulk)
- Relation file of a relation > Send email button in the relation ribbon
- Relation file of a relation > Interaction timeline > Send email button
- Invoicing > Invoices
- Documents > Documents
- Tasks > Task overview (bulk)
Email via your default email program:
- Relation file of a relation > Communication section > Communication channels > envelope icon next to the email address
- Relation file of a relation > top of the relation ribbon > envelope icon next to the email address
From which screens can you send emails?
You can send emails from several pages in AdminPulse.
Sending individual emails
You use individual emails when you want to contact a single relation, often in the context of an invoice, document, or interaction.
- Relation files > Relations > envelope icon in the Actions column at the end of each row
- Relation files > Interactions > Email icon at the end of each row – to send an interaction as a PDF by email to the relation
- Relation file of a relation > Interactions timeline via the relation ribbon > Send email button
- Invoicing > Invoices > Actions in the menu under the arrow Email invoice – to send an invoice by email to the relation
-
Documents > Documents > action Send by email in the actions menu at the end of the row, under the arrow – to send a document by email to a relation
👉 If a document is linked to multiple relations, you can choose which relation to send the email to.
Sending emails to multiple relations at once (bulk)
You use bulk emails when you want to reach multiple relations in a single action, for example, for reminders or general communication.
- Relation files > Relations > select multiple relations > batch operation Send email
- Relation files > Invoice schedules > select multiple schedules > batch operation Send email
- Relation files > Compliance > select multiple relations > batch operation Send email
- Relation files > Planned registrations > select multiple planned registrations > batch operation Send email
- Tasks > Task overview > select multiple tasks > batch operation Send email
💡 For bulk emails, you can create the content in multiple languages. Each relation automatically receives the email in its configured language.
