In this article, you’ll learn how to set up and use two-factor authentication (2FA) in AdminPulse, which authentication apps you can use, and what to do if you lose access to your app or device. AdminPulse administrators will also learn how to make 2FA mandatory and check its status.
👉 Do you sign in using single sign-on (SSO)? Your organization’s SSO provider, usually Microsoft Entra ID, manages the additional verification. The setup and use instructions in this article apply to users who sign in with an e-mail address and password.
Why use two-factor authentication (2FA)?
Two-factor authentication (2FA) adds an extra layer of security to your AdminPulse account. In addition to your password, you need a verification code from an authentication app.
When signing in with two-factor authentication:
- First, enter your e-mail address and password.
- Then enter the verification code from your authentication app.
This helps protect your account even if someone knows your password.
How do you enable two-factor authentication?
You can set up two-factor authentication yourself from My profile, using an authentication app on your smartphone.
- Click the user icon
at the top of the screen and select My profile.
- Click Enable two-factor authentication.
A QR code appears on the screen.
- Scan the QR code using an authentication app on your smartphone. You can also manually enter the code displayed above the QR code.
- Enter the verification code from your authentication app.
- Enter the requested mobile number.
- Click Enable two-factor authentication.
Two-factor authentication is now active. When AdminPulse asks for additional verification, enter the code from your authentication app after entering your password.
💡 Did you select Stay logged in on the sign-in page? You can also select Remember for 7 days on the two-factor authentication screen. AdminPulse will not ask for another verification code on that device for seven days.
How do you make two-factor authentication mandatory for users who sign in with a password?
As an AdminPulse administrator, you can make two-factor authentication mandatory for users who sign in with an e-mail address and password.
- Go to Settings > General settings > Security.
- Enable All users should enable two factor authentication.
The next time they sign in, AdminPulse will ask users who have not yet set up two-factor authentication to do so. This setting applies to your entire organization, except users who sign in through SSO. Their SSO provider manages the additional verification.
How do you check an employee’s AdminPulse 2FA status?
Go to Settings > Employees. The 2FA column displays a check mark for employees who have enabled two-factor authentication in AdminPulse. This column is visible by default. If you do not see it, add it again using Change columns.
👉 The 2FA column only indicates whether two-factor authentication is set up in AdminPulse. It does not show whether a user must complete additional verification through SSO.
Which authentication apps can you use?
You can use an authentication app that can scan QR codes and generate verification codes. Here are a few examples.
iOS (Apple)
Android
What if you no longer have access to your authentication app?
Have you lost your device or can you no longer access your authentication app? You can request a verification code by SMS if your employee profile contains a valid mobile number.
Sign in with a code sent by SMS
- On the sign-in page, click Request a code via SMS.
- AdminPulse sends a temporary verification code to the mobile number in your employee profile.
- Enter the code you received to sign in.
- After successfully signing in by SMS, you will receive a confirmation e-mail.
👉 Did you not initiate this sign-in? Change your password immediately and set up two-factor authentication again.
👉 Make sure the Mobile field in your employee profile contains the correct number. If the number is incorrect, ask your AdminPulse administrator to update it.
Set up two-factor authentication again on your device
Once you have signed in by SMS, set up two-factor authentication again on your new device or in your new authentication app.
- Click the user icon at the top of the screen and select My profile.
- Click Disable two-factor authentication.
- Then click Enable two-factor authentication.
- Scan the new QR code and follow the instructions on the screen.
What if you cannot sign in by SMS?
Can you no longer access your authentication app or receive a code by SMS? Ask an AdminPulse administrator at your office to reset your two-factor authentication. They can open your employee profile through Settings > Employees and click Reset two factor authentication.
After the reset, you will receive an e-mail and must set up two-factor authentication again. If the reset does not work, contact AdminPulse Support.
