In this guide, you’ll learn how to enable Multi-Factor Authentication (MFA) in AdminPulse, which apps you can use for authentication, and what steps to take if your device or MFA app is lost.
Why use Multi-Factor Authentication (MFA)?
MFA stands for Multi-Factor Authentication. It adds an extra layer of security on top of your password to better protect your account from unauthorized access.
When logging in to AdminPulse with MFA enabled:
- You first enter your username and password.
- Then, you enter an additional verification code generated by an authentication app.
This makes it significantly harder for third parties to gain access—even if your password becomes known.
How to enable MFA in AdminPulse
- Go to My Profile by clicking the user icon in the top menu bar

- Click on Enable two-factor authentication.
You will now see a QR code displayed on your screen.
- Scan the QR code using an authentication app on your smartphone (see recommended apps below) or manually enter the code found above the QR code.
- Enter the generated verification code to activate MFA.
- Provide a backup mobile phone number for the SMS recovery option in case you lose your device.
- Finish by clicking 'Enable two-factor authentication'.
MFA is now active on your account, and you’ll need to enter your username, password, and verification code for every login.
💡 You can choose to trust your device for 7 days during login.
How can I make MFA mandatory for all users?
As an AdminPulse administrator, you can require all users in your organization to enable MFA.
- Go to Settings > General settings > General
- Enable the option ‘All users should enable 2-factor authentication’ to enforce this policy.
Once activated, users without MFA will be required to set it up the next time they log in.

Which authentication apps can you use?
You're free to choose any app that supports QR code scanning and MFA. Here are a few popular and reliable options categorized by operating system:

💡 Is an app not working as expected? This may be caused by temporary technical or compatibility issues. Feel free to try another app from the list above.
What to do if you lose access to your device or MFA app
If you've lost your device or can't access the MFA app anymore, you can make use of the SMS recovery option to regain access to your account.
How does SMS recovery work?
- When logging in, select the option Request a code via SMS.
- A temporary verification code will be sent to the mobile number registered in your employee profile.
- Each time you log in using SMS, you’ll receive a confirmation email.
👉 You didn’t initiate the login? Change your password immediately and re-enable MFA.
👉 Make sure a valid mobile number is registered in AdminPulse, as it’s required for the SMS recovery option if you lose access to your device. You can add it in two ways:
- Via Settings > Employees > Employee profile, under the Mobile field.
- When setting up MFA, in the Backup mobile phone number field.
Important: reconfigure MFA on your new device
After successfully logging in using SMS, we recommend setting up MFA again on your new smartphone or with a new app.
- Go to 'My profile' in AdminPulse.
- Disable two-factor authentication.
- Enable MFA again.
- Scan the new QR code using your new authentication app.
What if you have no access and no registered mobile number?
If you no longer have access to your authentication app and there is no mobile number registered in your profile, please contact the AdminPulse support team through a support ticket for help regaining access. Our team will assist you as soon as possible and work with you to find a solution.
💡 After restoring access, don’t forget to set up MFA again using a new authentication app and register a mobile number for future recovery scenarios.
