If you want to perform tasks or registrations for a specific relation, but you want the invoicing to go through another relation, you can use the 'Invoice to' function. You configure this setting in the relation file of the relation you no longer want to invoice directly.
In this article, you'll learn how to set up 'Invoice to', what the consequences are for registrations, and how to recognize them.
Conditions and limitations for 'Invoice to'
- Both the original relation and the invoicing relation must be active. They should not have an end date, or if they do, it must be in the future.
- You can only invoice to a relation that has the status customer.
- A relation that already uses 'Invoice to' cannot be selected as the invoicing relation for another relation. Example: if B invoices to C, A cannot invoice via B.
- Once you set up an invoicing relation, the invoicing settings on the original relation will be deactivated.
- ‘Invoice to’ has no impact on creating tasks or registrations: those remain possible for the original relation.
How to set up 'Invoice to'
- Go to the relation file of the relation you no longer want to invoice directly.
- Open the Invoicing section.
- In the 'Invoice to' block, click the pencil icon next to 'To invoice to' and search for the correct relation.
- The setting is automatically saved once you select a relation.
You can undo this setting at any time by clearing the 'Invoice to' field.
On the relation file of the selected invoicing relation, you will see under ‘Invoiced for’ which relations are linked. This gives you an overview from both sides of the connection.
What happens to registrations once 'Invoice to' is set?
New registrations
From the moment 'Invoice to' is set up, new registrations will be linked to the original relation, but invoiced through the selected invoicing relation.
Existing registrations
Registrations created before setting up 'Invoice to' remain linked to the original relation and are not automatically invoiced through the new invoicing relation. Want to invoice them through a different relation? You will need to adjust them manually.
Registrations in invoice proposals or completed invoices
Registrations already included in invoice proposals will remain linked to the original relation and to the original invoice proposal. They will not be automatically invoiced through the invoicing relation.
Registrations in completed invoices can no longer be changed.
How can you recognize registrations that use 'Invoice to'?
In Invoicing > Open registrations, a link icon () appears next to a relation's name when it has linked registrations from other relations. Click on the triangle (
) to the left of a line to view registration details. Each registration also shows the original relation for which the work was done.
The original relation is also shown in the Invoice proposals and Invoices screens using the same triangle () at the start of a line.
How do registrations appear on the invoice?
All registrations are grouped on the invoice for the relation defined in the ‘Invoice to’ field. The layout of the invoice remains unchanged.
Since the link between the registration and the original relation is preserved, you can choose to show extra details per relation on the invoice. To do this, add a grouping by relation in your invoice template to display totals per relation. Use the following placeholders:
{BeginGroup:Relations}{Name}{TotalAmount}{EndGroup:Relations}
Below is an example of the relevant section in an invoice template:
This is how it will appear on the invoice:
Using ‘Invoice to’ in combination with assignments
Are you using the Assignments module in AdminPulse? Then you can also use the ‘Invoice to’ setting per assignment.
- Go to the relation file of the relation you don’t want to invoice directly.
- Open the Invoicing section.
- Scroll to the Invoice scheduling block.
- In the 'Invoice to' column next to the desired assignment, click the pencil icon.
- In the pop-up window, select the right relation and assignment (if there are multiple).
👉 Important: you can only set an ‘Invoice to’ relation on an assignment when there is no invoice schedule linked to it.
