Have you set up communication channels for a relation (via Relation file > Communication section)? In the Communication settings block just below, you can define which channel (address, e-mail, telephone, mobile...) is used for which purpose. This ensures that the right person receives the right communication.
Configuring communication settings
For each relation file, you can use the Communication settings block to define how communication should be handled:
- Click the '+' button to add a new setting.
- Choose the purpose of the communication:
- Other – for general communication
- Invoicing and reminders – for both invoices and payment reminders
- Task management – for communication related to tasks
- Invoicing only – only for invoices, no reminders
- Reminders only – only for payment reminders, no invoices
- Select the desired channel. Make sure this channel has first been added in the Communication channels block (just above the Communication settings).
- For e-mail channels you can also set the e-mail type. Choose from the available e-mail channels and indicate whether the address should be used as 'To', 'CC' or 'BCC'.
- Add a comment – an optional note to describe the communication setting.
- Click Save to store your settings.
How it works in practice
👉 If no specific channel is defined for a purpose, AdminPulse automatically uses the favorite address (marked with a yellow star).
Default address for invoices and reminders
In the Communication settings, you can define the default address to which invoices and payment reminders are sent.
For invoices
The system looks for addresses with the purpose 'Invoicing and reminders' or 'Invoicing only'.
The option 'Invoicing only' can, for example, be used to send invoices automatically to the inbox of an accounting program, such as the e-mail inbox of Yuki.
For reminders
The system uses addresses with the purpose 'Invoicing and reminders' or 'Reminders only'.
The option 'Reminders only' can be used to send reminders exclusively to the client’s personal address.
E-mail address for task management
For e-mails sent from tasks, you can specify a dedicated e-mail address in the Communication settings.
These e-mails will then always be sent to this address, for example, the client’s general office address.
Option: Other
Use the 'Other' option if you want to define a specific e-mail address for communication that is not about invoices, tasks or reminders.
Are communication settings required?
Entering communication settings is not required to send task e-mails or invoicing e-mails.
If you don’t add any settings, communication is sent by default to the favorite address of the relation (recognizable by the star).
