The Task overview (Tasks > Task overview) provides a clear summary of the status of tasks and subtasks within a specific time period. While the Task board focuses solely on tasks that are either to do or in progress, the Task overview also includes tasks that have been completed. Using filters, you can easily view and manage the information that matters most to you.
Select a task template in the top-left corner to display the corresponding tasks in a list format. Please note that only tasks associated with a task template will appear on this screen.
What can you find in the Task overview?
Filter options
At the top of the overview, you can apply filters such as time period, periodicity, or relation to display only the relevant tasks. These filters determine what appears in the table.
Task table
The table includes columns with structured information about tasks:
- Relation, Task, Status, Deadline and Subtasks: Click a column header to sort data easily.
- Status indicators: These colored dots show the progress of tasks and subtasks:
- Gray: To Do – not yet started.
- Yellow: In Progress – currently being worked on.
- Green: Done – task completed.
- Blocked (forbidden sign): The task cannot proceed, e.g., due to a missing document.
- Inapplicable (black dot with a white cross): The task does not apply to the current situation.
- Not executed (dot with a black line): The task was planned but not completed.
💡Tip: Hover over a dot to see more details, such as the assigned person or the deadline. Green dots also show the exact date the task was done.
Key buttons in the Task overview
Toggles
- Show date done: Replaces green dots with the completion dates of subtasks.
- Show deadline: Replaces yellow and gray dots with subtask deadlines.
- Show fields: Displays custom input fields as columns, allowing quick data entry for each task.
Export options
- Export to Excel: Easily export task data into an Excel file.
- Export authorizations: Create an overview of authorizations in Excel format for external processing.
Bulk actions
Manage multiple tasks at once effectively with the batch operations available in the Task overview.
Single actions in the Task overview
At the end of each row, you will find buttons for actions such as:
- Logging time for a (sub)task.
- Viewing task details.
- Sharing a task.
- Opening a task in the Task board.
- Deleting a task.
How to work with the Task overview
Update the status of tasks and subtasks
Click on a colored dot to change the status of a (sub)task. Hover over a dot and click the arrow for more options, such as:
- Viewing task details.
- Adding registration.
Viewing comments 
Tasks with comments are marked with a speech bubble icon. Move your mouse over the icon to view task-specific notes or recurring comments.
Accessing attachments 
Tasks with attachments are indicated by a paperclip icon. Hover over the icon to see the title of the document, or click it to open the task details and attached files.
Sorting and organizing data in the Task overview
Click on column headers to sort the data, for example:
- Sort by Relation to group tasks by relation.
- Sort by Assignment to review different types of assignments within a specific time frame.
- Sort by State to group tasks by progress (e.g., to do, in progress, or done).
- Sort by Deadline to focus on upcoming priorities.
On the State and subtask columns, you can apply additional filtering by clicking on the funnel icon. If a filter is applied to a subtask column, the corresponding funnel icon will turn red.
💡Tip: Combine sorting with filtersfor an even more precise view.
