In the 'Letters' section, you manage the letters linked to a relation. You can generate new letters based on a letter template or add existing letters to the relation.
The letters are shown in an overview with the columns 'Document date', 'Type', 'Name', 'Start date', 'End date' and 'Status'. You can change the document date, start date and end date directly in the overview by clicking the value.
Letters whose end date has passed are not shown automatically in the overview. With the 'Show inactive' toggle, you can still display these letters. The toggle only appears when there is at least one letter with an expired end date.
Via the 'Generate document' button, you create a new letter based on a letter template. To do this, you first need to create a template via Settings > Document templates.
Via the 'Upload document' button, you add an existing letter to the relation. You can upload a Word or PDF file for this. The uploaded letter then appears both in the 'Letters' section of the relation file and in the central 'Documents' screen.
💡 Are you uploading a scanned version of a letter that was created earlier in AdminPulse, and does that letter contain a QR code? AdminPulse can then recognise the letter and link it to the original letter. In that case, the uploaded letter does not always appear as a new, separate line.
Click the name of a letter to open it and view it. From there, you can, for example, download, edit, or replace the letter.
For each letter, you can also use the 'More actions' menu at the end of the row. Via this menu, you can, for example, download the letter or send it by email, send or cancel a signature request, mark the letter as signed, replace it, edit it or delete it. The available actions depend on the file type and the status of the letter.
Do you want to perform an action for several letters at once? Select the letters you want and use the 'Batch operations' menu at the top right. There, you can send a signature request in one go ('Sending request') or delete the selected letters ('Delete documents').
