In AdminPulse, several profiles are available per relations that allow you to indicate who from the office is responsible for the work carried out for that specific relation. These profiles can be used both to filter relationships and to assign tasks to employees. You are not required to assign a person to each profile.
- Assistant associate: The associate or partner of the office who is responsible for this relation.
- Assistant responsible: The file manager who is in charge of the file for this relation.
- Assistant senior: A senior employee who can play an additional or supervisory role in the work for this client.
- Assistant: An employee of your office who performs operational work for this relation.
- Assistant (backup): A substitute when the regular assigned employee is (temporarily) unavailable.
- Assistant invoicing: The employee responsible for the billing for this client.
Filtering relation by profile
On the Relation screen (Relation files > Relations) you can quickly create a list of relation files where a specific profile is assigned to an employee:
- Go to Relations
- Click on 'More filters'
- Select the profile you want to filter by (e.g., Assistant or (Assistant backup))
- For each profile, you can then select the desired employee
Using these filter options, you can quickly and easily find the relations for which a specific employee in your office is responsible.
Assigning tasks via profiles in task templates
When using task templates, you can assign tasks or subtasks to one of the profiles set within the relation file. This means that once a task is scheduled, it is automatically assigned to the employee listed for that specific profile in the file. More information on creating and managing task templates can be found here.
💡Tip: quickly edit profiles via 'Batch operations'
You can edit multiple relations simultaneously using 'Batch operations'. This makes it easier to update profile fields such as "Assistant associate" or "Assistant (backup)" in bulk.
- Go to the Relations screen (Relation files > Relations)
- Select the relations you wish to edit, possibly by applying a filter
- Click on 'Batch operations' and then on 'Edit assistant'
- Choose the profile field you want to update for the selected relations and assign an employee
This ensures you can quickly manage the responsible persons within the different files.
